How to fill an open tutoring slot with one text
One short text to every family when a spot opens, sent the same day each week, with the first reply taking it.
- Time
- 10 minutes for Good, about an hour for Best
- Cost
- Free on your phone, or part of Quo
- Works with
- iPhone, Quo, Google Sheets
- Skill
- Texting, then a few settings
An empty 4pm on a Tuesday happens to every tutor. A student moves, a sport season starts, a family changes plans. Often there's a family on your list who would gladly take that hour. They just don't know it's open.
A short, specific text tends to work better than a general one. In two randomized hospital trials in England with 10,111 and 9,848 outpatients, a reminder that named one concrete detail cut missed appointments more than a vaguer version. Those trials were about reminders, not open slots, and no study we found tests open-slot texts for tutors. So treat this as a sensible start and watch what your own families do.
There are three levels here. Each one is a fine place to be.
- GoodText every client from your phoneSave one short offer as a shortcut, text each family, and give the slot to the first reply.Your part: about 10 minutes each time a slot opens.Start here
- GreatSaved and scheduled in QuoThe offer saved as a Quo snippet, and next week's text scheduled ahead so it goes out on its own.Your part: about 20 minutes once, then a few minutes a week.Set it up in Quo
- BestOne sheet texts your whole listA Google Sheet of your families, connected to Quo with Zapier. Tick a box and each family gets their own text.Your part: about an hour once, then a minute per opening.Step-by-step setup
Rather we set it up for you?
This is part of the Boldwright starter package. We write the offer in your voice, load your client list, and set up the one-tap send, in a week or less.

Step 1
Write your texts
Fill in your details once and the texts update. Nothing here leaves your browser. Keep them short. A text reads best in two or three lines.
Say the day and time, say how it's decided, and ask one question.
Confirm fast so they know it's settled.
A kind no keeps them glad to hear from you next time.
Good
Text every client, and the first reply gets it
This works on any phone today. Saving the offer as a shortcut makes each text a few taps.
- Save the offer as a shortcut on your iPhone. In the Settings app, tap General, then Keyboard, then Text Replacement. Tap the Add button. Enter your phrase and shortcut: paste the offer as the phrase and use a shortcut like ;slot. Tap Save.
- Text every client: 4pm opens Tuesdays. Open a text to each family on its own, type ;slot, swap in their name, and send. One text each keeps everyone's number private.
- Offer it weekly, first reply gets it. Pick one day, like Monday morning, to send the week's openings. Families learn when to look.
- Answer the first yes right away, then send the kind no to the others who reply.
Great
Save the offer and schedule next week's text in Quo
If you text clients from a Quo number, save the offer once and schedule it ahead. Each set of steps comes from Quo's own help pages.

Quo scheduled messagesPartly built in
Quo on web, desktop or iOS. Scheduling isn't available on Android, and it works for one-to-one conversations, not group texts.
- Go to the family you want to text.
- Draft the offer in the text field, using your snippet.
- Click the clock icon instead of send.
- Set the time, like Monday 8am, and check the time zone shown.
By default, if the family texts you before it sends, Quo cancels the scheduled text and saves it as a draft. That keeps you from offering a slot to someone mid-conversation.

Best
Text your whole list from one Google Sheet
This is the version that asks the least of you each week. Your families live in one Google Sheet. When a slot opens, you write the offer once, tick a box for each family, and Quo sends each of them their own text. You still choose who gets the slot.
Quo's help page walks through it with a ready-made sheet and Zapier template. Only text families who agreed to get texts from you, and note Zapier needs a Pro plan or higher for this.

Quo with Google Sheets and ZapierPartly built in
A Quo number, a Google account, and a Zapier Pro plan or higher. Each family has agreed to get texts from you.
- Open the Google Sheet linked from Quo's help page and click File, then Make a copy. Name it, like Open slots.
- Add each family's first name and phone number in Columns A and B.
- Put the offer in the Text Message column for each row. Copy one cell and paste it into the others to use the same text.
- Sign up for Zapier, open the template linked from Quo's help page, and click Try this template. Name the Zap.
- Click into Trigger 1, New or Updated Spreadsheet Row in Google Sheets. Choose your Google account, then your sheet, and the worksheet named Template. Set Trigger column to Send Message and click Continue to test it.
- In the filter step, under Only continue if, select Send message, set the second dropdown to (Text) Exactly matches, and enter TRUE. Click Continue.
- Click into the Quo action and connect your Quo account. Choose the number to text from, and set the To and Message fields to the columns from your sheet.
- Turn on the Zap with the toggle in the upper right corner.
- Send a test first: add your own number and a message in a new row, then tick its checkmark.
Once a row's checkmark is ticked, that row can't send again. For next week's opening, add new rows with the family and the new offer, then tick those.

Step 2
Check it worked
- Text the offer to your own phone first and read it the way a parent would.
- Keep a note of each opening: when you sent it, when the first yes came in.
- After a month, count how many open slots got filled. Keep the day and wording that worked best.
If something's off
Common snags
Two families said yes at once
Give it to the first reply, as promised, and offer the second family the next opening first. Most people take that well.
Should I use a group text?
One text per family is kinder. A group text shows every family the others' numbers and replies.
My scheduled Quo text became a draft
That family texted you first, and Quo saved it as a draft. Send it by hand if the slot is still open.
