How to answer every photography inquiry the same hour
A short note you can send between frames, a quote ready to paste, and then step by step setups that send the first reply and the follow-up for you.
- Time
- 10 minutes for Good, about an hour for Best
- Cost
- Usually part of tools you already pay for
- Works with
- Gmail, HoneyBook, Dubsado, or a phone
- Skill
- Settings in your email or studio software
An inquiry usually arrives while you're mid-shoot or deep in an edit. Answering it within the hour is hard when your hands are full, and plenty of good photographers find it hard. A short note sent now does more than a perfect reply sent tomorrow.
The timing matters. A Harvard Business Review audit of 2,241 US companies found only 37% replied to an online lead within an hour, and the ones that did were nearly 7x more likely to reach a real conversation than those who waited an hour longer. That audit covered many kinds of business, not photographers alone, so treat it as a direction rather than a promise.
There are three levels here. Pick the one that fits this week. Each one is a fine place to be.
- GoodA short note the same hour, and a quote ready to pasteSend a two-line note within the hour you see the inquiry, then paste your saved quote when you're back at your desk.Your part: a minute per inquiry.Start here

Rather we set it up for you?
This is part of the Boldwright starter package. We build the first reply, the follow-up and the phone alerts in the tools you already use, in your studio's words, in a week or less.
Have Boldwright set it up$297 setup, then $70 a month once you've seen it work. No contract. Cancel by text.
Step 1
Before you start
Three things to settle once. They make every level faster.
- Pick one next step. After your first reply, what should a new inquiry do? Book a call, look at your packages, or tell you their date. Every reply points to that one thing.
- Get the link for it. A booking page, a pricing guide or a contact form all work. No link yet? Ask them to reply with their date.
- Choose your follow-up day. If they go quiet, one friendly note about three days later is plenty.
Step 2
Write your replies
Fill in your details once and the replies below update. Nothing here leaves your browser. Copy each one into wherever you keep saved replies.
Two lines is enough. They know a real person saw it and when to expect more.
Fill the square brackets once and save it. Next time you only change their name and date.
It thanks them, points to one next step, and says a person will answer.
One follow-up, then let it rest. Short and kind lands well.

Send a short note the same hour, then paste your quote
This is a real step up, and it costs a minute. The note goes out from wherever you are. The quote waits in Gmail until you're at a computer.
- Reply the same hour, even a short note. Keep the same-hour note from Step 2 in your phone's notes app. When an inquiry lands, copy it, change their name, and send it from the inbox it came to.
- Turn on Gmail templates. On your computer, open Gmail. At the top right, click Settings, then See all settings. Click Advanced, click Enable next to Templates, then Save Changes.
- Keep a draft quote ready to paste fast. Click Compose and paste your quote from Step 2. At the bottom of the compose window, click More options, then Templates, then Save draft as template, then Save as new template.
- Send the quote when you're back at your desk. Open their inquiry and reply. Click More options, then Templates, and choose your quote under Insert template. Add one line about their date or style, and click Send.

Let Gmail send your first reply
If your website form sends inquiries to Gmail, a filter can answer each one the moment it arrives. You still write the real reply. This buys you the hour.

Templates turned on (see Good) and your first reply from Step 2 saved as a template. Gmail on a computer.
- Save your first reply from Step 2 as a template: click Compose, paste it in, then click More options, Templates, Save draft as template, Save as new template.
- In the search box at the top, click Show search options.
- Enter what your inquiries have in common, such as the address your website form sends from.
- Click Create filter.
- Check the box next to Send template, then choose your first reply. Click Create filter.
Send yourself a test inquiry through your own form and check the reply arrives.

Let HoneyBook or Dubsado reply, follow up and tell you
This is the version that asks the least of you day to day. Your studio software sends the first reply the moment the form comes in, sends one follow-up if they haven't booked, skips it once they do, and tells your phone when it's your turn. It takes about an hour to build, and it's worth testing on yourself before it goes live.
Pick the tool you already use. Each step comes from that tool's own help pages.
HoneyBookBuilt in
A HoneyBook lead form on your website and a session type in the Scheduler for your intro call. Automations are built on a computer, not in the mobile app.
- Save both emails as templates. From the navigation menu, select Templates, then Emails, then Create new, then Email. Paste your first reply from Step 2 and name it. Do the same for your follow-up.
- Start the automation. From the navigation menu, click Automations, select All, then select + New in the top right corner. Click the title at the top left and rename it, for example New inquiry.
- Set the trigger. Click Set a trigger in the sidebar and choose Lead form submitted. Pick your website lead form, or all of them.
- Send the first reply. Click the large plus (+) icon, select Action, then Set an action in the sidebar. Choose Send email and pick your first reply template.
- Wait three days. Click the plus (+) icon, select Wait, choose Set wait time, and enter 3 days.
- Skip the follow-up once they book. Click the plus (+) icon, select Condition, and choose Session was scheduled. Leave Set timeframe for condition off. On the No path, add an action: Send email, with your follow-up template. Leave the Yes path empty.
- Test it, then turn it on. In the top right corner, click Test Run, then Start Test. HoneyBook makes a test project and sends the emails to you, not a client. When it looks right, toggle Active status ON.
- Turn off the duplicate. Open your lead form, select Settings, and toggle Send a confirmation email upon submission OFF. Your automation now sends the welcome email.
- Get told on your phone. In the HoneyBook app, tap your profile picture, then Mobile notifications (on Android, Settings, then Mobile notifications). Turn on new inquiry, new message in a workspace, and client schedules a meeting.
If they reply before day three, open Automations, then the Activity tab. Find their run, click the three dot icon, and select Cancel run. The follow-up won't go out.
If booking for you means a signed contract, choose the condition Contract signed instead of Session was scheduled.
Triggers don't work backward. The automation answers new inquiries from the moment it's active.

DubsadoBuilt in
A Dubsado lead capture form on your website. Flows and the Default flow setting need the Premier plan.
- Start a flow template. Go to Flows, then Flow templates, and click the + icon. Click the title, New Flow Template, and rename it, for example New inquiry.
- Send the first reply right away. In the Flow Actions panel, click Send Email. Choose your first reply in the template picker. In the When section, keep Relative and set it to 0 day(s) after this flow starts. Click Create.
- Add the follow-up. Click Send Email again and choose your follow-up. Set When to 3 day(s) after this flow starts. Turn on Require manual approval to complete this action, then click Create.
- Connect it to your form. Go to Forms, then Form templates, and open your lead capture form. Click the Settings tab. Under Lead capture options, choose your flow in the Default flow dropdown, then click Save form.
- Approve or skip the follow-up. On day three the follow-up waits in Flows, under Approval required. If they've booked or replied, open the flow and click Skip and mark complete. If not, approve it and it sends.
- Get told when it's your turn. Click your workspace name in the top left corner, select Settings, then Notifications under Account settings. Turn on Lead capture form completed, Appointment booked and Flow action needs approval.
Prefer no approval step? If your first reply sends a proposal with Send Form, set the follow-up to 3 days after a form is not completed and watch that proposal. Dubsado skips the follow-up on its own if they accept in time.
Dubsado's help asks you to test a flow on yourself before you attach it to a live form. Submit your own form once and watch both emails arrive.

Step 4
Check it worked
- Send yourself an inquiry the way a client would and time how long the first reply takes.
- Open the link in the reply on your phone and check it lands on the right page.
- Write down how many inquiries you got last month and how many booked. Look again after a month.
If something's off
Common snags
Will an automatic reply feel cold?
Not if it sounds like you and says a person will follow up. Write it the way you talk, and add one personal line when you reply yourself.
The automatic reply didn't send
Send a test through your own form. In Gmail, check the filter matches the form's address. In HoneyBook, check the automation is Active. In Dubsado, check the first action uses after this flow starts, not after form is completed.
My lead got two welcome emails
In HoneyBook, toggle Send a confirmation email upon submission OFF in the lead form's Settings once your automation sends the welcome email.
Inquiries come in through Instagram, not email
Start with Good there: keep your same-hour note in your phone's notes and paste it. Point people to your lead form for the rest.
