The 6 AM session is the one people forget. The text goes out the night before, while they can still set an alarm.

Glad the post brought you here. If your early sessions keep coming up empty, that isn't a you problem. You train people at dawn, write programs at night and run a business in the gaps. Remembering to text everyone the evening before is one more job on a full plate.

The good news is that a reminder is one of the best-tested fixes there is. A Cochrane review pooled 7 trials with 5,841 people and found that about 68 in 100 showed up with no reminder, against about 77 in 100 who got a text. A hospital trial in England with more than 10,000 patients went further: when the text said what a missed appointment costs, missed appointments fell from 11.1% to 8.4%.

One honest note. Those studies were at clinics and hospitals, not gyms. Nobody has published the same test for personal training. They are still the best evidence there is that the reminder itself works.

Below are three levels. Start wherever you are. Each one is a real improvement, and none of them is the wrong place to be.

Rather we set it up for you?

This is part of the Boldwright starter package. We set up the night-before text to go out on its own for every session, from your number, in your words, in a week or less.

Have Boldwright set it up

$297 setup, then $70 a month once you've seen it work. No contract. Cancel by text.

Step 1

Before you start

Four decisions, made once. After that the text goes out for every session without you thinking about it.

  • Pick the send time. The evening before works for most sessions, around 6 PM. It's late enough that they know their plans for tomorrow and early enough to set an alarm or move the session.
  • Write down your cancellation window. For example, "move it by 8 PM the night before." Use the same window for every client. If you charge for late cancels, say so at signup, not for the first time in a reminder.
  • Get each client's mobile number and their OK to text. Add one line to your intake form: "I'll text you a reminder the evening before each session."
  • Decide what happens when they reply. Some will reply "see you then". The ones who need to move it will tell you. Check your texts once in the evening so you can fill the gap.

Step 2

Write your text

Fill in your details once and the texts below update. Nothing here leaves your browser. Copy the one you want into your app or your phone.

Evening before: the reminder

It names the time and place, so there's nothing to look up. The "paid for and held for you" line is our adaptation of the hospital trial, which found that saying what a missed appointment costs cut misses. That exact wording hasn't been tested in a gym.

If they pay per session

For clients who haven't prepaid. Saying someone else could use the slot gives them a reason to tell you early.

When they reply to move it

Two times get an answer faster than "when works for you?" Fill in real openings from your calendar.

Good

Send it from your phone

This is a great place to start, and plenty of trainers stay here. Schedule the reminder from your phone when you book the session. It takes about a minute per client.

A trainer at a table in the gym scheduling tomorrow's reminder texts on his phone, rain on the window behind him.
Schedule tomorrow's reminders once, at the end of the day. Your phone sends them on time.
  • Android (Google Messages): open the conversation, type the reminder, then touch and hold Send. Pick a time from the suggestions, or choose your own date and time and tap Next, then Send. Works on Android 7.0 and up. If your phone is offline at that moment, it sends when you reconnect.
  • iPhone: in Messages, tap the + button, then Send Later, pick the time and send. Apple says this needs iMessage, so it works for clients with blue bubbles. You can schedule up to 14 days ahead. For green-bubble clients, use the calendar reminder below.
  • Save the text as a shortcut on iPhone: go to Settings, General, Keyboard, Text Replacement, tap +, paste the reminder and give it a shortcut like ;rem. Then type ;rem and fill in the time.
  • Calendar nudge for everything else: when you book a session, add a notification for 6 PM the day before. When it pops up, send the text.

Great

Let your booking app send it

Once you're tired of scheduling texts by hand, hand the job to the app you already book in. Built in means the app texts the reminder on its own once you switch it on. Partly built in means it texts, but you can't change the wording or it only sends email. Each set of steps comes from that app's own help pages.

Acuity SchedulingBuilt in

Text reminders need the Standard (Growing) or Premium (Powerhouse) plan, and they don't work on a free trial. Writing your own text means verifying your business first. Acuity walks you through it.

  1. Click Client Text Messages, then Turn On at the top right.
  2. Under Send for, choose the appointment types it applies to.
  3. Set the Send reminder drop-down. Anywhere from 15 minutes to 14 days before works. Pick the evening before.
  4. To use your own words, click Verify number, fill in your business details and enter the code. Then type your text into Custom message, use Insert Tag for %first% and %time%, and click Save.

Acuity sends one text per appointment and caps it at 300 characters. The texts above fit.

You can also add up to three email reminders under Client Emails, then Reminders.

Square AppointmentsBuilt in

Needs Square Appointments Plus or Premium, or the advanced bookings add-on on a Square Free, Plus or Premium plan.

  1. In the Square Dashboard, go to Appointments, then Settings, then Communications.
  2. Under Confirmations and Reminders, turn on the text reminder.
  3. Pick how far before the appointment it goes out from the drop-down, then click Save.
  4. To add your own line, open Customize Notifications, pick the reminder, add your text and click Save.

Square only allows reminder wording, not promotions. Keep it about the session. If a custom text fails, Square sends its default instead.

CalendlyBuilt in

Text automations are on paid plans (Standard and up), not the trial. Texts come from a toll-free number Calendly assigns. Clients have to opt in to texts, so the phone field can't be required.

  1. Go to Automations and select Create your own automation.
  2. Under When this happens, choose Before event starts and set the time.
  3. Under Do this, choose the text action, then Next.
  4. Name it, choose your session types under Which event types will this apply to?, and click Apply.
  5. Click Edit under Do this, write your text using +Variables for the name and time, click Done, then Save.

Calendly texts are capped at 180 characters. Use the shorter pay-per-session text, or trim the first one.

Checked against Calendly help docs, October 2026.

GlofoxBuilt in

Texts are sold in bundles. Ask your Glofox onboarding manager or support to turn texting on.

  1. Go to Connect, then Automations.
  2. Open Appointment booking reminders, or Class booking reminders for classes.
  3. Edit the text message so it sounds like you, then switch it to Active.

Glofox sends this reminder 24 hours before the session. That's earlier than the evening before, which still works.

Checked against Glofox help docs, October 2026.

MomenceBuilt in

Texts are billed by message under Settings, Phone number, SMS Tiers. If you run out, reminders go by email instead.

  1. Go to Settings, then General Setup, and scroll to Class & Appointment Reminders. Set how many hours before.
  2. Go to Studio Setup, then Transactional templates, then SMS. Open the reminder, edit the wording and make sure it's enabled.

Momence's help pages say text reminders are for appointments. Class reminders go by email.

VagaroPartly built in

Reminders by text and email are in the base subscription. Clients opt in to texts themselves.

  1. Open Business settings, then Email & Text Notifications.
  2. Under Appointment Reminder, set how many hours before it goes out, and click Save.
  3. On each client's profile, under Appointment Reminders, make sure SMS Text is ticked.

Vagaro doesn't let you change the reminder wording, going by its support team. If you want the lines above, send them from your phone the evening before.

Checked against Vagaro help docs, October 2026.

Using Mindbody? Its help center wouldn't load for us, so we haven't listed steps we couldn't check. Look for appointment reminders in your Mindbody settings, or use the phone method below. Using Trainerize? Its help pages describe app and email reminders, not texts. Using a Google Calendar booking page? It sends reminders by email only, needs a paid Google plan, and you can't edit the wording. Your cancellation policy does show up in them, though.

Best

The whole loop runs on its own

This is the version that asks the least of you: nothing to remember, and a missed session turns into a rebooked one instead of a lost hour. It's possible on a small-business budget. It isn't a single switch, though. It means connecting your booking app to your texting number and testing it over a couple of weeks.

Here's what the fully automatic version does, start to finish:

  • The reminder goes out the evening before, in your words, for every session, without you touching it.
  • Replies come to one place. "See you then" needs nothing from you. "Can we move it?" gets flagged so you answer it first.
  • A freed-up slot gets offered. When someone moves their session before your cutoff, a short text goes to a client who wanted that time.
  • A missed session gets a kind rebook text the same day, with your open times, not a guilt trip.
  • You get one weekly summary: sessions, reminders sent, moves and misses. That's how you'll know it's working.

How small businesses get there: some booking apps cover pieces of this, such as reminders and waitlists. Joining the pieces up is the work. We've built this kind of loop for a salon: it checks the booking system every 15 minutes, writes the rebook and no-show messages, holds them for a quick approval, and sends a weekly summary. It's what the Boldwright starter package sets up for you.

Step 4

Check it worked

  • Book a test session for yourself, with your own mobile number, for tomorrow.
  • Wait for the reminder. Check the time and place are right, and the name isn't blank or showing a tag like %first%.
  • Reply to it the way a client would. Make sure the reply reaches you. Some apps send from a number that doesn't forward replies.
  • Read the text out loud. If it sounds stiff, change it now. It should sound like you at the start of a session.

If something's off

Common snags

Isn't saying "paid for" a bit pushy?

It reads as "your spot is real" when it's true and you mentioned it at signup. If a client hasn't prepaid, use the pay-per-session text instead.

My app won't let me change the wording

Vagaro is like this. Leave the app's reminder on and send your own line from your phone, or switch the app's reminder off and send yours instead. Don't send both, one text is enough.

The text came from a number clients don't know

Calendly and some other apps send from their own number. Mention it at signup: "You'll get a reminder text from my booking app the night before."

What about group classes?

Glofox and Momence have class reminders. With a big class, texting each person from your phone doesn't scale, so use the app.

Is it okay to text clients?

A reminder about a session they booked, from the trainer they hired, is about as welcome as a text gets. Get their OK at signup, keep it about the session, and stop if they ask you to. Promotional texts to a list have stricter rules in the US. This isn't legal advice.

Want the reminder going out on its own?

We're a small, new shop in Denver, and this is the kind of thing we set up for people: the evening-before text going out for every session, from your number, in your words, with replies coming straight to you. You keep training. The 6 AM reminder happens without a calendar alert.
